When a gathering requests a submission of proposal for a new workshop or lecture, there is certain information that it should include, and certain considerations to follow.

The level of professionalism in the proposal will vary per event and venue, but there is basic information that is going to be needed anyway, and you might as well figure it out ahead of time.

  • a title for the workshop
  • names of presenter(s)
  • credentials for each presenter including any past experience with the material of the workshop in question and experience in working as the leader of such types of workshops
  • the core idea of the workshop
  • the scope that will be covered
  • how long the workshop will run, whether there will be a scheduled break, how much flexibility there is for time, how strictly it needs to start on-time and other time-based considerations
  • specific idea of the venue of the workshop -- lecture, hands-on, discussion group, support group, training, tutorial, discussion panel, etc.
  • what materials are needed
  • the size of space needed
  • how much setup and break down time is needed
  • how the area needs to be set up for the workshop (circle of chairs, rows of chairs, podium with mic, etc.)
  • whether there should be room monitors (i.e. volunteers to help out, run errands, fetch more water or last-minute supplies, seat late arrivals, handle upset attendees, etc.)
  • any special notes about the workshop, such as "There will be a meditation, so interruptions and late arrivals are a very poor idea."
